Address List Formats

Requirements for computer-based address lists to be transferred to the CRISTA Letter Service database.

File Formats We Accept  

Preferred Formats:

 

  • Excel
  • Access

 

Other Formats

 

  • Table in Word Document
  • Text file
  • ASCII Delimited (either tab delimited or comma delimited)

(Please inquire before sending your address list in any other format.)

 

Medium

  • An email attachment; on a diskette, CD or hard copy (email preferred, if possible)

 

Record Layout:

The following information should be included for each address

A Name 30 Must be formatted LAST;FIRST MI.  Please leave no spaces adjacent to the semicolon.  Place titles, such as Mr., Dr., Mr. & Mrs. after the semicolon. Business names need no semicolon. See examples below.
B 1st Address

30 May be a second name line. See samples below.
C 2nd Address Line 30 Use this column if only 1 address line is required.   Please do not use punctuation, and do use standard abbreviations - Ave, St, Blvd, Ln, Cir, N, S, E, W, NE, NW, SE, SW, etc.
D City & State 30 City first, followed by at least 1 space and the 2-character state or 2-character province code. (+postal code for Canada addresses).  May be used as another address line for international addresses.
E Zip/Postal Code 10 US and Canadian address only.  International leave blank.
F Country 19 Non-US address only.  Leave blank for US address.
